CaseWare Cloud | OnPoint EBP | Best Practice for accessing Office Suite files

Overview:
This article is to help Assurance EBP team members through the best practice to launch OnPoint Engagement files that will sync back to CaseWare Cloud. This will help to ensure that workflow interruptions are to a minimum and that data that has potential PII (Personal Identifiable Information) is securely protected.
Opening locally (through Downloads) has caused members to run into the following prompt when downloading files.
For example: "We found a problem with some content in '3212 Contribution Testing'. Do you want us to recover as much as we can? If you trust the source of the workbook, click Yes."
- Launching OnPoint Files
- Save Locations
Launching OnPoint files:
- Teams will login into OnPoint site to access engagements through: Entities
- Search for the Entity > Select the specific Engagement Year End to work on
- Adobe PDF files, letters, placeholders, financial statements, checklist, and other listed items will open in the OnPoint tab
- Office Suite files (Word and Excel) will prompt to "Open in Microsoft Office?" where three options are available:
- Never open in Office checkbox - Do Not select this option
- Download instead - Will download locally, will not save back to CaseWare Cloud when closed, met with error prompt above

Open in Office - Launches Excel locally, source location stays on CaseWare Cloud, selecting Save before closing will apply changes to file stored on CaseWare Cloud
- Please note that if "Never open in Office" is selected you will not receive this prompt, files will download locally, and you will have to clear your cache and cookies to correct this
- Secondary prompt will appear: "This site is trying to open Excel".
- Select Open
- Can click "Alway allow us.casewarecloud.com to open links of this type in the associated app" checkbox
Save Locations:
Here are details on save locations based on launch options as well as additional storage locations.

Download Instead: File will be stored in Downloads Folder.
- Will have to upload to OnPoint Engagement using the Upload option under "Create a document" button
- Will have to upload to OnPoint Engagement using the Upload option under "Create a document" button

Open in Office: File is not stored locally on device, changes that are saved will upload and sync with file version on CaseWare Cloud.
- File location will show as an object ID ending in the us.casewarecloud.com site
- File location will show as an object ID ending in the us.casewarecloud.com site
- OneDrive: OneDrive store locations such as Desktop, Documents, and Pictures should not be used as store locations. If you are working with PII information and storing to OneDrive locations, you will receive frequent alerts in OneDrive and Outlook to have these files moved to local store locations.
- (R:) EBP Network Drive: Can be used to store a backup copy as a restore point or to manually upload to OnPoint if worked on locally.
