Requirements

  • Microsoft Outlook installed and configured with your work account
  • Microsoft Teams installed and configured with your work account
  • Access to book the DAL-Boardroom conference room (contact IT if you cannot search for it)

 

Overview

This article walks you through booking the DAL-Boardroom conference room using Microsoft Outlook & Teams. The process takes less than 2 minutes and ensures the room is reserved on the shared calendar.

Section 1: Booking a Teams Room in Outlook

  1. Launch Microsoft Outlook. In the bottom-left navigation bar, click the Calendar icon to switch to Calendar view.
  2. In the Calendar view, go to the Home tab in the ribbon at the top. Click the New Meeting dropdown arrow and select New Meeting.

  1. A new meeting window will open. Click the Location field (or the Rooms... button if visible) to search for and add a conference room.

  1. In the room search dialog, type "DAL" in the search box to filter the list of available conference rooms. Alternatively, you can scroll through the full list to locate DAL-Boardroom manually. Make sure you address book is set to "All Rooms".


  1. From the filtered results, double-click DAL-Boardroom. The room will automatically populate in the Rooms field. Click OK to confirm your selection.

  1. Verify that DAL-Boardroom appears in both the Required attendees field and the Location field. Fill in any remaining meeting details (title, time, and attendees), then click Send.
  2. After clicking Send, the conference room booking is confirmed. A calendar invitation will be sent to all required attendees and the room will appear as reserved on the DAL-Boardroom shared calendar for the selected time slot.

Section 2: Booking a Teams Room in Microsoft Teams

  1. Launch the Microsoft Teams desktop app. Make sure you are signed in with your work account.
  2. In the left-hand navigation panel, click the Calendar icon to open your Teams calendar.
  3. In the top-right area of the calendar, click the New Event dropdown arrow and select "Event" from the options.
  4. The new event window will open. Complete the required fields (title, date, start time, end time). In the Add required attendees field, type "DAL-Boardroom" and select it from the suggestions that appear.


  1. Review all event details to confirm everything is correct — especially the room, date, and time. When ready, click Send to book the room and notify all attendees.
